On the phone, All projects is for administrators. If you are an admin of at least one project, or you own or administer a company account, the app opens on All projects, and it is the first row of the side menu (the three-line icon ☰ in the top-left). It is the one screen that spans every job you run: the project list and eight tabs, Mine, Work, People, Time, Plant, Materials, Files and Photos. The “all_projects” topic says what each tab holds, as it is in the browser. This page is what is different on a phone.
If you are a member or a follower, your phone has none of this. Your Projects screen is a picker: search it, tap a job, and work inside that one. All projects is yours in the browser, with your own work, documents and photos across your jobs.
Getting there, and back out of a job:
- The app opens on All projects when you start it
- From inside a project, open the side menu (☰) and tap All projects, the first row
- Tap a project in the list to go into it. On a phone, and on a tablet held upright, Projects is the first tab. A tablet on its side keeps the list in a column of its own beside the tabs
- If you work for more than one company account, the organisation chosen at the top decides which jobs the whole screen covers
Most of it needs a connection. My work and My timesheet are kept on the phone and work with no signal. Everything else is read while you are online: with no signal a tab says it needs a connection, or shows what it last read and says that it is not up to date. A form that changes something opens once the latest has been read.
The strip under the title: for the owners and admins of the organisation, with three things to tap.
- The plan and how it stands, with a trial’s days left. It opens the Plan section
- The seats used against the plan. It opens the same Seats used bar as the browser, with SiteBot this week and what the organisation is storing
- A cog, which opens organisation settings: Details, Plan, Usage, Two-factor, Projects and, for the owner, Ownership
Nothing is bought on the phone. Choose a plan, Change plan and Card, invoices and billing address each open the Plan page of the web app in your browser. See the “organisation_and_seats” topic.
The two buttons at the top right:
- The magnifying glass is Search everything. Type two letters or more and it looks across the organisation’s jobs, under Tasks, Comments, Site diary, Documents and Projects. A task or a comment opens the task where you are, a document opens on its own page, and a project or a diary day takes you into that project
- The sparkle is SiteBot, all projects: me, answering across every job at once. The line at the top says how many projects and whose; tap it to see which. From there I look things up and change nothing. New chat starts again, and History lists your earlier all projects conversations. See the “ai_chat” topic
Mine. Four chips, as in the browser: My work, My timesheet, Notifications and My corrections.
- Tap a notification to read it in full where you are. Where it is about a drawing, a task or an invitation that never arrived, a button under it takes you there. It is marked read when you close it
- Open one of your corrections to read what was decided, or tap Withdraw while it is still waiting
Work. The same search box and the same six chips. List and Board are at the right of the chip row: on a phone the board shows one status at a time, with every status and its count across the top, and a tablet shows the four columns. Tap a row and the item opens over the list, to read, comment on, assign or change.
People. Two chips, People and Certifications.
- If you run the company account, People is the organisation’s own list, contacts included, with Add someone, Add a contact and Import at the top
- The … on a person’s row opens Permissions (their company standing, their role on each project, and Trust corrections), Reassign their work, Use a different address for an invitation that bounced, and Remove from the organisation. For somebody who has not signed up, Permissions also has Send the invitation again, once a day
- A project admin who does not run the company gets everybody on the jobs they administer, with what each is carrying and Reassign
See the “organisation_people” and “team_management” topics.
Time. The same four chips: Time on site, Timesheets, Requests to decide and Corrections log.
- Tap a person’s day to see its check-ins and put one right
- Approve and Reject are on each request, with room for a note. The push about a request opens this list
- Export gives the spreadsheet only. The Xero and QuickBooks bills and Past exports are in the browser
See the “site_attendance” and “timesheet_corrections” topics.
Plant. A phone opens on two boxes, plant still booked out and double-bookings, then lists the machines, each saying where it is booked now or next. A tablet shows the board itself, with Day, Week, Month and Today.
- Book a machine is at the top. A double-booking still saves: the button reads Book anyway
- Tap a booking to read it, then Change booking, Cancel booking, It came back or Still out
- Fleet, at the top, is where the organisation’s owners and admins Add machine, and retire or delete one from its own page
See the “plant_board” topic.
Materials. It opens on To charge. Press and hold a line, or tap Select, to start ticking: Mark charged, Not chargeable and Back to charge then sit in a bar at the foot. They are offered once the list has been read afresh, so a line the office charged a moment ago is not charged twice. Export list shares the lines on screen as a spreadsheet.
Files. Search documents by name, newest first, each row naming its job and folder. Tap a document and it opens on its own page; go back and you are on All projects again. The folder link is different: it takes you into that job, where you stay.
Photos. The same search, the same six chips, the albums and Jump to. Map opens the map on a screen of its own on a phone, and beside the grid on a tablet. A tile or a pin opens the photograph where you are, in the viewer the Gallery uses, with its comments and its markup. Deleting a photo and changing its date stay in the project’s own Gallery.
Exports are spreadsheets. They are handed to the phone’s share sheet to send or save: the project summary, the hours, the timesheets and the materials list.
What stays in the browser:
- Availability, the tab for who is off
- Printing, and the accounting exports: the Xero and QuickBooks bills, the generic spreadsheet and Past exports
- Choosing or paying for a plan
- Pinning, deleting and searching my earlier conversations
